MAJOR PURPOSE OF POST

:

To provide a quality, efficient and effective business support service for Building & Housing Services

MAIN DUTIES AND RESPONSIBILITIES

The job description refers to the principal duties and responsibilities of the Post. It does not necessarily list in detail all the tasks required to carry out these duties and responsibilities.

  • To process invoices for Building & Housing Services including invoices from stores, ensuring correctly authorised and batched for payment within set corporate timescales. Dealing with queries from suppliers and chasing up outstanding invoices.
  • Raising orders with agreed suppliers and assisting with the procurement of materials and supplies in accordance with Council’s procurement policy.
  • To process information/data from work allocation systems to facilitate job progression through all stages from raising jobs to completion of works and payment of general orders.
  • Assist with the management and maintenance of a network of suppliers for building services ensuring best value is achieved.
  • Maintenance of relevant employee records within the service to include timesheets, flexible working, leave, sickness absence and training information.
  • To assist with the provision of management / financial reporting.
  • To participate in the counting and reconciliation of car parking monies for collection by secured couriers.
  • Provision of general office duties including office administration, customer care, consultation, surveys and complaints management.
  • Ensure compliance with the Council’s Financial Regulations, Standing Orders, Policies and Procedures
  • To implement the principles of the Council’s Equal Opportunity Policy whilst carrying out the above duties
  • To adhere to Health and Safety legislation / relevant Council policies and procedures and to take reasonable care for the health and safety of yourself and other persons who may be adversely affected by your acts / omissions.
  • To implement the principles of the Council’s Environment Policy while carrying out the above duties.
  • Such other duties and responsibilities commensurate with the grade and in accordance with the general character of the job as may reasonably be required by the Chief Officer from time to time.
  • To report without delay any safeguarding concerns to the appropriate Safeguarding Officer.
